Gathering and using personal data of customers, suppliers and other contractors
We would like to draw your attention to the fact that we collect and use the personal data you provided to us as this is essential for concluding and executing a potential contract with you. This applies to both our customers (potential or otherwise) and to parties from whom we purchase items and/or services.
If you are a customer (potential or otherwise) of ours, we use your personal data to be able to send you a quotation, to determine which specifications or preferences a certain item or service fulfils, to send invoices, and to be able to communicate with you smoothly and effectively concerning aspects of executing the contract.
If you are a supplier or other contractor (potential or otherwise), your personal data are also essential for concluding and executing the contract. With purchasing, that is necessary in order to inform you of which specifications or preferences we believe a certain item or service must fulfil, to be able to send you a quotation request or to place an order with you, to pay your invoices, and to communicate with you smoothly and efficiently concerning other aspects of the contract.
You are not obliged to provide us with your personal data. However, if you do not provide us with any or with insufficient personal data, we will potentially be unable to carry out the aforementioned activities.
Transfer to third parties
In connection with executing a potential contract with you, it is possible that we need to provide your personal data to third parties who supply us with components, materials and products, or perform activities on our behalf. We furthermore use external server space for storing (some of) our sales and purchasing administration, of which your personal data are part. For that reason, your personal data are forwarded to our server-space provider. We moreover use Microsoft Office and the corresponding storage options for emails and other files. Lastly, since we make use of a newsletter mailing list, your personal data are forwarded to the provider of this service.
Direct marketing
If you give us permission to do so, we will store and use the personal data you provide to us to notify you in the future personally by email of existing and new products and services, and potentially present you an offer in this regard. Whenever we send you an advertising email, you will have the opportunity to inform us that you no longer require this. To do so, see the unsuscribe link at the bottom of each mailing.
Personal data storage period
If you requested a quotation from us but did not become a customers of ours, we will delete your data one year following our final contact at the latest. Even if we have received a quotation from you, but did not become your customer, your personal data will be deleted one year following our final contact at the latest. If you did become our customer or we ours, we will store your personal data for the duration of seven years after the end of the financial year in which the contact with your was fully executed. The seven-year period corresponds to the period during which the Tax Authority obliges us to store our administration. Once this period ends, we will delete your personal data as far as technically possible.
Your rights
You are entitled to request us to allow you to access your own personal data. If there is cause for this, you can also request your personal data to be supplemented or rectified for inaccuracies. You are furthermore entitled to request your personal data to be erased, or the use of your personal data to be restricted. You can also object to us collecting and using your data, or lodge a complaint with the Personal Data Authority.
